How to Print Postage with Microsoft Word 2003

If you already use Microsoft Word 2003 to print your envelopes or to prepare any other document that needs to be mailed, now you can print envelopes or shipping labels complete with real postage.

Note: If you are an existing Stamps.com customer, in order to take full advantage of Stamps.com with Microsoft Office 2003, you need to upgrade to the newest version of Stamps.com. Click here for instructions.

Step-by-step instructions for quickly printing an envelope with First-Class Mail postage:

  1. Click the Tools menu at top.

  2. Select Letters and Mailings -> Envelopes and Labels



  3. Type your address in the Delivery Address box, then click the checkbox next to "Add electronic postage".



  4. Optional: Click the E-postage Properties button in order to

    • Add a Special Service such as Certified Mail™, USPS Registered Mail™ or Insurance

    • Add a graphic or logo to your envelope

    • Print either a postage or mail date correction





  5. Stamps.com will check your delivery address against the USPS® Address Matching System. Verify the information and click Accept.



  6. Set your postage options:

    • Weight

    • Mailing date (e.g., which day this piece will be sent out)

    • Reference code (if applicable)


    Note: You may securely purchase additional postage by clicking the Buy Postage button. Purchases are charged to the credit card you have on file with Stamps.com. If you do not have sufficient available postage, you will be required to purchase postage before printing.

  7. Click "Print"

Step-by-step instructions for printing a shipping label, other envelopes, or more complex mail pieces with postage:

  1. (1) Select the delivery address in your Microsoft Word document. Then (2) click the Stamps.com icon located on your toolbar.




  2. If you are not already logged into Stamps.com, you will be prompted to enter your password. Enter your password and click Connect.



  3. Stamps.com will check your delivery address against the USPS Address Matching System. Verify the information and click Accept.

    Note: If this is your first time using Stamps.com in Microsoft Word, you will then see the following instructional screen. You may choose not to see this screen in the future. Click OK

  4. The Stamps.com print postage dialog will appear. If you want to print postage on an envelope or label, select the Internet Postage tab at top. If you want to print postage for a package, select the Shipping Labels tab at top.



  5. Set your postage options:

    • Mail piece type (e.g., envelope, package, etc.)

    • What you are printing on (e.g., #10 envelope, #9 envelope, label, etc)

    • Weight

    • Mail class (e.g., First-Class Mail®, Priority Mail®, etc)

    • If using a shipping label, electronic service (e/Service) you wish to use.



  6. Click "Print"
